SharePoint - How to Move or Copy Files Between SharePoint Sites (MS365)

Introduction
This guide explains how users can move or copy files and folders between SharePoint sites in Microsoft 365 using the built-in Move to and Copy to features.
Following this process also helps resolve issues where users are unable to save files directly to certain SharePoint sites from applications like Word or Excel
Requirements
Before starting, ensure the following:
- You have access to both the source and destination SharePoint sites.
- You are using a modern browser (Microsoft Edge or Google Chrome recommended).
- The SharePoint sites you need are pinned to Quick Access (one-time setup below).
- The files being moved are part of a small transfer (large migrations should be handled by IT).
Step-by-Step Instructions
Step 1: One-Time Setup (Pin SharePoint Sites)
- Open each SharePoint site that you regularly use or need to move files between.
- For each site:
- Navigate to the Documents library (or main file library).
- Click “Pin to Quick Access” (typically located near the top of the page).
- Repeat this for all relevant SharePoint sites.
- ✅ Once completed, all pinned sites will appear as selectable locations when using Move to or Copy to.
Step 2: Move or Copy Files and Folders
- Go to the SharePoint site where your file or folder currently exists.
- Select the file(s) or folder(s) you want to move or copy.
- Click:
- Move to (to transfer files), or
- Copy to (to duplicate files)
- In the location panel:
- Select the destination SharePoint site (from Quick Access).
- Browse to the correct folder within that site.
- Click Move here or Copy here.
Important Notes
- This process is intended for small numbers of files or folders only.

- Using this method improves reliability when saving files from Word, Excel, and other Microsoft apps.
